To seamlessly carry out a challenging and ever-changing business schedule. These global leaders travel extensively to the international offices, and it is therefore critical to ensure all related back office activities are planned well and managed closely at all times.
To demonstrate high flexibility and multi-tasking ability in a calm and compose demeanour.

To monitor CEO’s mailbox, respond to emails on their behalf when approved to do so and regular translate emails (English/ Italian/French).
To prepare and send private correspondence in French, English or Italian.
To coordinate complex calendar, travel, and meetings for the CEO, regularly taking into account last minutes changes and handling such changes calmly and confidently.
To be the central contact for VIP visits.
To co-ordinate events hosted by the CEO.
To manage the CEO’s time as effectively as possible in order to create win-win situations for direct access to the CEO's time and office.
To prioritize conflicting needs.
To maintain highly accurate contact list and database which is updated regularly.
To manage multiple projects as assigned by the CEO.
To prepare various documentation including agendas and briefing papers for off-sites, key routines and staff meetings.
To closely follow CEO’s private businesses such as family affairs, real estate investments, contacts with Italian and foreign banks and current accounts, properties abroad, vacations and holidays organization, schools, medical examinations, car insurances.

Educated to degree level
Extensive experience supporting a Senior Director, Chairman or CEO of a global, multinational organisation
Understanding how to approach and work closely with Senior Directors and their PA’s
Experience of organising complex travel itineraries and meetings
Ability to work to deadlines in a highly demanding environment
Excellent organisational skills and the ability to prioritise
Discrete, reserved and able to handle business, personal, and family information with the highest level of confidence
Effective problem-solving ability
Impeccable time management skills
Self-motivated, committed and able to work well independently
Strong work ethic, with a flexible and dedicated approach
Exemplary interpersonal skills
Trustworthy with high moral standards
Professionalism in appearance & attitude
Able to adapt quickly to changes, handle multiple tasks, and prioritize

Bilingual Italian/English, fluent in French (written and spoken)
Mastery knowledge with MS Office (Excel, Word, PowerPoint, E-mail)
Occasional international travel to meet the requirements of the role
Working the core hours 9am to 5pm but also additional hours to meet the needs of the role
